VelaPOS Inventory Basics
VelaPOS is our inventory management system. Understanding it is essential for tracking products accurately.
Accessing Inventory Functions:
- Use your employee login (never share credentials)
- Navigate to Inventory > Stock Management
- Different access levels exist based on your role
Key Inventory Screens:
Product Lookup:
- Search by name, SKU, or barcode
- Shows current quantity on hand
- Shows quantity at other locations
- Displays product details and pricing
Stock Adjustments:
Use for discrepancies found during counts:
- Select product and adjustment type
- Enter quantity being adjusted
- ALWAYS include a reason code
- Requires manager approval for most adjustments
Reason Codes:
- DAMAGED: Product is unsellable
- SHRINK: Missing/stolen
- SAMPLE: Given as customer sample
- PROMO: Used for promotion
- COUNT: Physical count correction
Inventory Alerts:
VelaPOS generates alerts for:
- Low stock items (below reorder point)
- Zero quantity items still active
- High variance after counts
- Pending transfers
Best Practices:
- Check inventory before telling customer "we're out"
- Verify system matches shelf before making promises
- Report discrepancies immediately
- Never adjust inventory without proper authorization
